Online Clinical Placement Inventory

StudentMax™ - Version 3, is a database adapted for the needs in Colorado and is used to connect nursing schools with healthcare facilities that offer or would like to offer clinical education opportunities for student nurses. Participating schools can search opportunities in a variety of ways:

  • Geographic region
  • Facility name
  • Unit type
  • Specialty type
  • Timeframe (e.g., fall semester, spring semester, summer, etc.)
  • Month/Dates
  • Placement Identification Number (assigned to each placement)
  • Open placements - newly created by clinical sites or cancelled by schools
  • Temporary Released or One-time placements

Schools request via the web-based system directly to the clinical sites.  All requests are stored in a pending folder behind the login until they are approved or denied by the clinical agency.  Once the process is complete, approved placements are entered directly into the system.  Electronic communications are sent automatically between partners as requests and/or changes in placements are made.

Each partner has secure access to their own placements and pending requests done within the system that can be accessed real-time 24 hours a day. 

Clinical site managers, charge nurses, preceptors and scholars can view information about student groups assigned to their unit on any given day during any given shift. There is no student-specific information in order to respect HIPAA and FERPA privacy rules.

To protect the integrity of the database, information is read-only and print-only. Changes to the database are sent automatically to the project director and placed into the database only after approval from the clinical agency.

  • Quick access to Partner Specific information via our Partner Links –
    • Partner Weblinks – Within the system each partner has the ability to provide a direct link to their school or clinical facility's website, making it easy for users to learn about our partner organizations' requirements, accreditation and expectations.
    • Partner Information Site - For the partners that have not been able to develop their own internal website, a partner-information site has been added.  This site allows for partners to post all required documents and share information about their organization with other partners, students, and faculty.
  • Clearinghouse of Shared Documents and Tools -
    • Within the partner login, there is a repository of documents created by the collaborative partnership of the Clinical Placement Projects.  All documents are posted within the system for real-time access by all partners. These documents include:
      • Partner Meeting Information - Essential information for participants, including bylaws, meeting minutes, meeting schedules, etc.
      • Standardized forms and reference documents - to ease the paperwork required to set up clinicals. This section includes clinical request forms, competency requirements and many other documents.
      • Training Documents and Schedules: to allow access for all new partners as they begin using the system.  Access is obtained during the initial training session and includes site-specific user's guides and training materials.
      • Archived Records and History: related to placements from 2005 forward.
